*Alliance for Empowerment *is a not-for-profit entity formed as a parent company to take on administrative functions for other non-profit organizations core business functions, including Finance, HR and IT.
Alliance for Empowerment was formed between Able2 and Capabilities, Inc.
to secure and grow strength for the missions of our organizations.
Alliance for Empowerment is seeking an Executive Assistant as the primary point of contact on matters pertaining to the CEO, and as they may pertain to our Network Organizations (Able2 and Capabilities).
The Executive Assistant also serves as a liaison to the board of directors and senior management teams, organizes and coordinates executive outreach and external relational efforts, and oversees special projects.
*Duties:* * Completes a broad variety of administrative tasks for the CEO including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
* Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.
* Successfully completes critical aspects of written communication on behalf of the CEO, including drafting letters, memos and correspondence.
* Keeps CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up.
* Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion.
* Performs all secretarial duties for CEO (and other Directors as assigned), attending and recording meeting minutes as requested.
* As needed, will assume supervision of paid or volunteer clerical staff as assigned, which may include interviewing, appraisals, disciplining as appropriate.
* Maintains and updates all mailing lists including: donors, community partners, legislators, human services providers.
* Assures all contributions receive acknowledgment and maintains file of donors.
* Assists as needed with community engagement personnel on behalf of CEO to generate fund development and community awareness campaigns.
* Assists in the production and securing of promotional material in conjunction with external consultants and internal agency staff as determined within agency strategic priorities.
* Ensures assigned social media is current and accurate, trouble shooting as needed with I.
T.
and appropriate personnel.
* Assists with coordination of all fundraising and special event projects including pre-event planning and organization, as assigned.
* Assists in issuance of agency-wide communication from CEO (and other Directors as assigned).
* Functions as the courier of daily Post Office runs.
*Qualifications:* * Minimum of 3-5 years’ experience as an Administrative or Executive Assistant in a fast-paced administrative setting.
* Associates degree preferred.
High School Diploma or equivalent required.
* Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
* Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer service and response.
* Demonstrated ability to exercise good judgment in a variety of situations.
* Must have excellent written and verbal communication, administrative, and organizational skills.
* Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and the administration of business social media web platforms.
* Must possess valid driver's license and driving record acceptable to agency insurance carrier.
